Our housebuilding business operates across 13 regional offices, which are currently developing around 200 sites across England. The design and construction blend tradition and innovation, creating homes and developments with contemporary living standards. Our product range includes one-bedroom apartments through to larger five-bedroom family homes.
In a Nutshell:
We have a fantastic opportunity for Legal Administrator to join our team within Vistry Housebuilding Western, at our Clifton, Bristol office. As our Legal Administrator you will be responsible for supporting the sales team and actively achieving timely exchanges and completions through daily communications with solicitors, mortgage brokers and estate agents, dealing with issues promptly and efficiently. You will also assist with sales and legal administrative duties when required.
We are pleased to say, this role can accommodate agile working arrangements.
What we would like from you:
Key Responsibilities -
Oversee all reservations from the point of sale to completion, ensuring that constant progress is being made to achieve a timely exchange of contracts.
Provide secretarial and administrative support to the Sales administrator when required.
Log all sales reservations on a daily basis and communicate with progression department.
To co-ordinate the accurate production of disclosure of incentives and other reservation documentation to ensure sales contracts are issued within 48 hours by solicitors.
Work with stakeholders through the transaction, to ensure progress of all sales from reservation to exchange and to provide accurate updates.
To liaise with relevant internal team to overcome any challenging legal enquiries.
Arranging for legal contracts and other required documents to be signed within required time frames.
Update the company's reporting systems with relevant information, also logging key milestones of exchange and completion.
Co-ordinate the administration duties for the Home Exchange property sales, producing Home Exchange reports and communicating with internal teams and relevant stakeholders.
Distribute relevant letters/communication with buyers following reservation to encourage an exchange within their exchange deadline.
Attend team meetings as required
Liaise with customers and escalate queries to the relevant area
In contact for all live sites, offering all relevant assistance with regards to paperwork, general queries, and ad hoc requests
Communicate via telephone and email with solicitors, estate agents, mortgage brokers and buyers to co-ordinate a timely exchange of contracts.
Regularly update the sales team and Sales Managers on the progression of all sales- communicating any concerns or issues that need to be raised.
Ensure you have read and understood the Company's health and safety policies and procedures, and promote and comply with them at all times
Report any accidents or near misses immediately to your manager and record them in the accident book
Ensure your workplace is kept tidy and any hazards are eliminated or reported to your line manager
Wear appropriate protective clothing on site at all times
Attend all health and safety training as required by the CompanyCompetencies -
5 GCSEs to include Maths and English (or equivalent)
Experience of working in an administrative role or accounts/procurement working to tight deadlines
Knowledge of Microsoft Word, Excel and Outlook
Excellent organisational skills
Able to communicate effectively at all levels within the business
High attention to detail
Able to produce accurate work, to tight deadlines
Able to work both as part of a team and independently when required
Confident when dealing with customers, both internal and external
Behave in line with our values
Willing to work extra to meet deadlines as and when the business needs require itDesirable -
Business administration qualification
Experience of working within sales department/order processing in the same or a similar environment
Experience of working with customer databases
