Private family office based in the West End is looking for a well presented, articulate candidate to come on board to work in small office based very near Marylebone.  This role is looking after a UHNWI, helping run his day to day life in a business and personal capacity.  This role is working in a lovely townhouse office working with one other PA - you do work very closely together as so chemistry is key but there will be times when you will be on your own in the office and so being happy with your own company is essential.  This is a busy role and so does require a high level of organisation and communication as well as well as strong attention to detail.  The family are demanding and exacting and expect a high level of professionalism at all times.  Having said that they are incredibly respectful and do not expect 24/7 or out of hours support.  The hours are 9.30am - 5.30pm and so a good work/ life balance.

Duties:

  • Calendar and all inbox management for Deputy Chairman 
  • Business travel bookings for Deputy Chairman (and Executive Chairman when travelling with Deputy Chairman)
  • Looking after private needs for Deputy Chairman and his family including principal’s property, booking appointments, and dealing with any requests  
  • Holiday cover for Office Manager 
  • Liaising with the main UK company’s bookkeeper and processing financial filing  
  • Property management for two properties of the Executive Chairman’s associate
  • Collating documentation for personal tax for the executive chairman’s associate and liaising with their tax accountant
  • Processing Executive Chairman’s and Deputy Chairman’s expenses for all companies in the U.K. and abroad
  • Supporting Office Manager with overflow administration work (all ad hoc)
  • Opening post and distributing post to remote working teams via scans and email
  • All administrative work for Deputy Chairman’s UK financial investment company, liaising with the Deputy Chairman’s technology company team abroad and newly formed charity if and when needed.
  • Filing and document preparation

Skills

  • Able to multitask, be organised and to adhere to deadlines 
  • Intermediate or advanced IT skills 
  • Understanding the sense of urgency when dealing with the principles and their requests
  • Ability to prioritise work tasks
  • Happy to independently support deputy chairman and work together with the office manager on administrative projects. Also, happy to support office manager with additional administrative tasks.
  • Happy to work in a small and quiet (not workload wise but not a bubbly environment) family office
  •  Professional, diligent, and hard working •
  • Good communicator with fluent English and excellent writing skills 
  • Working knowledge of iPhones and iPads preferable
