EXECUTIVE ASSISTANT POSITIONMAYFAIR, LONDON
£19,000 per annum for 20 hours a week (equivalent to £38,000 full time)
We are looking for a well-organised permanent part-time Executive Assistant to support the General Counsel UK and her Senior Assistant Company Secretary in the Mayfair office of two companies who are both premium-listed on the London Stock Exchange (FTSE). The companies have banking and investment operations in Europe. This would be a part-time role and we are willing to discuss flexible work hours (e. short days).
KEY RESPONSIBILITIES
In this role, you will be expected to:
*Screen telephone calls, take messages and route correspondence.
*Assist to the production of documents to the highest standard using the Microsoft suite of programmes.
*Handle finance administration duties such as invoice and expenses processing.
*Maintain cloud-based filing solution, ensuring processes and software are up-to-date and in working order.
*Open, sort and distribute incoming mail and prepare and arrange for delivery of outgoing mail.
*Operate standard office equipment (printer, scanner and telephones) and coordinate repairs.
*Order and maintain office supplies and stationery.
*Maintain contact lists and liaise with service providers, including building management.
*Manage diaries, coordinate and arrange meetings.
*Record holidays, training requirements, subscription renewal and sickness.
*Update and maintain office policies and procedures including documentation of processes.
*Perform general office duties, including support to visitors.
*Assist clients in sending documentation to the main office.
SKILLS AND ATTRIBUTES NEEDED TO SUCCEED IN THIS ROLE
*Ability to work independently and on own initiative, as well as part of a team.
*Excellent communication (both oral and written) and listening skills.
*Strong organisational skills.
*Attention to detail and commitment to accuracy.
*A pro-active approach to process improvement and problem solving.
*Discretion, patience and respect for confidentiality.
*Flexibility.
QUALIFICATIONS AND EXPERIENCE TO APPLY
*At least 3+ years' experience in a similar role.
*Strong IT skills on Microsoft Office suite (Outlook, Word, Excel and PowerPoint).
*The ability to type and format documents accurately.
*Working knowledge of cloud-based software and systems.
*Recent and relevant references.
