This is a fantastic opportunity for a highly skilled and experienced Executive Assistant to support a Founder of a Global Investment Firm based in Central London with offices internationally. The Founder is incredibly busy and requires first-class support from his EA across all areas of his business life (circa 70%), as well as private support to him and his family (circa 30%). They are looking for a well-educated applicant, who is polished and has a professional demeanour, but is also willing to jump in and roll up their sleeves on any project, big or small.

You will be hard-working, driven and ambitious – a natural problem solver who is solution-led and has a great deal of initiative. The ability to manage complex and ever-changing diaries across multiple time zones is essential for this role - you will be calm and manage stressful situations with ease and professionalism. Wokring alongside their US Chief of Staff you will need to be a great team player who can work collaboratively. Excellent written and verbal communications skills are key, as well as high attention to detail and the ability to prioritise projects.

Based remotely from home, you may be required to Central London on occasion so need to live within a commutable distance. Usual working hours are 9am-6pm Monday-Friday with flexibility required and on-call out of hours. A great deal of the business is US-based so there may be a need for you to work to US hours at times.

Responsibilities will include (but are not limited to):

  • Full calendar management for the Founder across a number of time zones
  • Planning professional and personal travel for the Founder
  • Updating and maintaining Outlook contacts
  • Online/virtual office filing of research, passwords, personal matters, etc
  • Tracking various Board of Directors meetings, documents, members, etc
  • Expense management
  • Communicating regularly with the Founder and his Chief of Staff by email, phone, WhatsApp
  • Handling various personal projects including home deliveries and returns; bill payments for household staff, utilities, etc; restaurant reservations; other errands and ad hoc projects

Essential Criteria:

  • Extensive prior Executive Assistant experience is essential for this role
  • Flexibility and willingmess to assit with all Private PA duties
  • Highly organised, efficient and able to manage a busy workload
  • Strong communication skills – both written and spoken
  • Excellent interpersonal and relationship management skills
  • Strong proactive prioritisation skills including the ability to take independent action and consult as needed
  • Excellent attention to detail, in diary management, writing, editing and grammatical skills
  • Savvy and highly comfortable with technology
  • A friendly, calm and professional manner
  • Collabortive team player
  • The ability to use your own initiative
  • Able to exercise discretion
  • Excellent checkable references
