This is a unique and exciting opportunity for an experienced and professional Executive Assistant to work with the Secretary General for the International Chamber of Shipping (ICS).  You will provide a high level of organisational, administration and project support for the Secretary General and the Chairman at a key time in the work of the organisation on a global basis.

This will be a varied and, at times, fast paced role, and you will be well organised and able to work one step ahead of the busy diary and managing the many competing demands for time.   As well as working with the Secretary General to prioritise and provide proactive support on key tasks, you will also communicate with other senior leaders internally and with a wide range of senior contacts and stakeholders internationally.  You will be a self-starter, highly personable and with flawless communication skills, high levels of tact and diplomacy and the ability to build excellent working relationships at all levels.  You will be expected to make decisions and to identify and deal with issues as these arise, with this in mind you will have the confidence and ability to prioritise and to get things done.  

As part of this role you will line manage an Administration Coordinator and work with a number of key internal colleagues on behalf of the Secretary General to coordinate essential business support for meetings and travel arrangements for other ICS team members.

Key duties will include:

  • Managing correspondence, the diary and the often complex and international travel arrangements for the Secretary General.
  • Ensure documents, notes and briefs for external and international meetings are prepared and any follow up actions are carried out.
  • Work with colleagues to ensure key speeches, presentations and interventions are prepared for and briefed to the Secretary and Chairman.
  • Assist the Deputy Secretary General with the organisation and arrangements for the ICS Main Board Meeting both in London and abroad.
  • Support the Secretary General with the organisation, reporting and running of the internal meetings with the Management Board.

The small and highly dedicated Secretariat team at ICS are in the process of returning to office-based working on a hybrid basis. They have recently moved into a brand new and very modern office space based in Seething Lane. 

In this full time role you can expect to work in the office for at least three days a week on a flexible basis, combined with home working for the rest of the time.  There is an excellent range of additional benefits and a great team culture.  As well growing and bringing in new talent over the last year, there is also excellent longevity across the whole team.   

ICS is the principal trade association working with Ship Owners and Operators as members in around 40 countries across the world and representing over 80% of the merchant tonnage carried on the world’s oceans at key international bodies including the International Maritime Organization and the International Labour Organization.  Its primary concern is with a wide range of maritime affairs including regulatory, environmental, people, safety, trade and legal issues. The maritime industry is going through transformational change as the sector begins to recover from COVID-19 and decarbonize. The ICS is at the forefront of this.
