We have a great position for a Receptionist at an amazing design company in Notting Hill

Reception duties will include:

First point of contact for all guests & clients upon entering the studio.

Answering, transferring and taking messages for all studio calls.

Responsible for company inboxes; circulating studio information and identifying, forwarding or dealing with general inquiries, job & internship applications, new business inquiries, remittance, studio visits and student research questions.

Booking, preparing and tidying meeting rooms for client meetings, ordering client lunches & making refreshments.

Booking taxis & inland travel, couriers, and mailing post with use of franking machine, and sorting and distributing received mail. Allocating job numbers for bookings and relaying to accounts

General upkeep of studio presentation.

Studio Assistant responsibilities:

Point of contact for studio related queries, studio maintenance, contracts, suppliers and upkeep including; recycling collections, gas & electricity contracts, printers & toners, water machines, coffee machine etc

Responsible for all company phone contracts; setting up and renewing contracts, ordering hardware, dealing with insurance claims. Forwarding monthly invoices to accounts department

Responsible for the company mailing list 

Working with the accounts team on invoicing and studio contracts, as well as corporate bank card payments & statements.

Creating weekly invoices for catering and cleaning staff.

Responsible for international travel; liaising with corporate travel agencies on specific requests, booking flights, car transfers and accommodation, and creating travel itineraries and packs for each trip. Organising Visa applications and relevant documents

Ordering office stationery and supplies

Organising student studio visits for talks and Q&As.

Setting up the studio for evening talks and events, including hiring waiting staff, glassware, ice, ordering drinks and refreshments, and helping to set up studio for event.

Helping the Manager to organise partner meetings and appointments
