A global talent and search consultancy in life sciences is looking to appoint a Team Assistant to help support the Partner group of business leaders with day-to-day administration. 

This will help them optimise their workload and ensure all key administrative tasks are managed in a timely manner. In addition you will help establish, build and maintain relationships with clients, candidates and international colleagues, which would be achieved in your day-to-day interaction.

The Team Assistant will support all aspects of administration within the team, to ensure project and event delivery in a timely fashion to the highest standards. You will assist the Practice EAs with assignments along with managing your own projects and tasks and in time you will support fee earners within the team.

This role will suit a flexible, hardworking, dedicated, and trustworthy individual with 12-18 months similar experience within professional services environment who has the enthusiasm and willingness to learn. We need a bright team player with no pretensions who will thrive in a varied role with multiple priorities. You must be able to prioritise, be proactive, think ahead, anticipate problems and provide solutions in a high quality, client focused business.

This role we be in the London office (Oxford Circus) and also offer flexible working from home.

Team Assistant Key Duties:

  • Support our Partners by helping with admin and diary management tasks which will ease their workload, enabling them to deliver and spend more time with clients and their teams.
  • Arrange travel for the Partners ensuring that all details are clear in diaries for both the individual and other team members to see.
  • Actively help Partners with their expenses to ensure that deadlines are met and expenses where applicable are recharged to clients.
  • Continual learning and development of your administrative skills to enable progression to full earning potential.
  • First point of contact for incoming calls/meetings into the UK central number, handling of all calls in a personable and professional manner.
  • Actively communicate with colleagues, clients and candidates at all times to deliver our commitments to them.
  • Where relevant maintain both client and candidate relationships of trust, mutual respect and confidence.
  • Use and populate database (FileFinder) where relevant.
  • Promote all areas of business – Executive Search, Executive Interims and Board Services - in conversations with clients.
  • Take supervised responsibility for execution of candidate/client contracts.
  • Proof-reading briefs, reports and presentations

  • Have a positive and upbeat manner, always ready for a challenge, willing to go the extra mile to produce high quality work;
  • Can prioritise, be proactive, anticipate problems and provide solutions;
  • Client focussed;
  • Excellent IT skills –. MS Office suite - Outlook, Word, PowerPoint, Excel.
  • 12-18 month administrative/team Assistant experience within professional services
  • Degree or A-level educated or equivalent
