This highly successful and fast paced international surveying company is looking for an exceptionally organised Admin Assistant to join their busy London office.

As the Admin Assistant, this role sits within the valuation (operations) side of the company providing support to the Operations Director, Valuation Team and Valuation Team Coordinator.  The position will involve producing and formatting reports, documents and Excel spreadsheets as well as client invoicing and project management of jobs.

A brief overview of duties:

  • Job and File Management
  • Creating job files for new work
  • Creating reports for the valuers
  • Helping with allocating work to valuers
  • Liaising with valuer and client as needed on any timescales / deadline
  • Liaising with valuer on the job file and when they will receive the draft report
  • Arranging any international travel or visas
  • Running work tracker documents on larger jobs for weekly / monthly reporting to clients on progress
  • Proof reading and formatting reports
  • PDF and issuing the report to clients
  • Preparing invoices on Xero
  • Checking expenses with valuer
  • Providing cover when other teams members are on annual leave.

You will need to be fluent and extremely competent with Word and Excel where you have proven experience of producing and formatting documents and reports on a daily basis as this is a crucial part of the role.  Key tasks you need to be very experienced with include:

  • Margins
  • Layout of text
  • Page and section breaks
  • Inserting tables, pictures and text
  • Same font used throughout the document
  • Checking the total document for layout and consistency.

It’s a small but very busy team so you will also be an integral part of the support team and assisting with running the office and supporting where needed.  The report production element is a large part of the role, however this fits around the other areas and you will be working closely with the valuation team and their clients. You will be a key part in the running of the valuation team, project managing workloads / valuers and liaising with clients.
