Fluent Mandarin speaking HR Admin Assistant - Finance - 1 year maternity contract - competitive

We have a really super role for an admin assistant to join a busy HR Department for a City based finance house, covering a 1 year maternity leave and starting asap.

Ideally, you will have excellent attention to detail and MS Office and be a real team player with a positive attitude.

Principal Purpose of the Job:

* PA to Managers
* Deal with general administrative matters within the HR & Administration Department.
* Business Analysis Reports draft

Main Responsibilities
General Administration Support
Provide support for the HR & Administration Department to ensure that it operates efficiently.
Key duties and responsibilities

* DGMs PA. Assistant to all DGM's - e. expenses, travel, diary management, as required;
* Deal with quarterly risk management report;
* Implement routine management of reputation risk, security risk and draft regular quarterly reports to and communicate with related departments of the ***** Head Office;
* Do researches on macro-economic situations and local peers and draft research reports;
* Collect analysis reports from various business departments and based on which to draft whole analysis reports;
* Support in preparing various reports and PowerPoint materials to be presented to Head Office;
* Arrange travel and accommodation for staff business trips e. visas, flights and hire cars, if required;
* Arrange temporary accommodation and provide support to expats;
* Draft Minutes of the monthly Executive Committee Meeting
* Administration of mobile phones;
* Manage company Oyster cards;
* Liaison with Social Committee as necessary to organize events;
* Maintaining Subsidiary and Branch organization charts;
* Conduct fixed asset checks ensuring fixed asset register is kept up to date;
* General invoice administration;
* Provide support for visitor organization; Internal news platform admin.
* Production of reference letters;
* Preparation of references for banks, landlords, new employees, invitation letters etc.;
* Back-up liaison with our outsourced property management service;
* Managing stationery suppliers and orders;
* Recorder management;
* Liaison for third party service providers e. travel companies, airlines, accommodation services, etc.;
* Management of memberships and subscriptions;
* Organise all internal and external events e. Chinese New Year, Chinese festival celebrations throughout the year, CEO Town Hall meetings, arranging food / refreshments;
* Co-ordination between London and the social media
* Co-ordination between London office and third parties, e. social media;
* Make pre-arrangement for the delegation purpose, including conference preparation, accommodation, transportation and meals etc.;
* Other HR and Admin related matters assigned by Head and Co. Head.
Skills Required:

* Good writing and research skills both in English and Chinese;
* Good communication skills in English as well as in Chinese;
* Good organizational and interpersonal skills;
* General administration experience and strong attention to detail;
* Good skills in Microsoft PowerPoint, Word and Excel;
* Bilingual (English and Mandarin);
* Multi-tasking skills;
* Able to demonstrate initiative skills and ability to prioritise tasks.
