A boutique leadership and search consultancy based in in the City is looking for a Team PA/Project Assistant to support two partners and the Operations Manager. As a growing business they are now looking for an additional PA/Project Assistant to assist both Partners in all areas of the search process as well as growing and getting involved in the business as a whole. Lots of scope for progression and development within the business.

The role of the Team PA / Project Assistant is to provide administrative and secretarial support for the Partners as well as support to the Operations Manager.

Key PA/ Project Assistant duties:

  • To provide secretarial/PA support to the Partners
  • Diary and travel management to include; flights, accommodation and meetings
  • Scheduling assignment interviews and liaising with both the client and candidate, face to face as well as VC.
  • Logging client and candidate information on the company CRM system
  • Arrangement and follow up of client meetings
  • Ensuring that any documentation required for the meetings is arranged and travel is organised
  • Provide support in the collation of briefing documentation/proposals for pitch presentations
  • Assisting Partners with assignment delivery recording details on the company database
  • Handling of sensitive commercial and team information
  • Screening calls and answering general enquiries and requests in a professional manner
  • Dealing with email correspondence and establishing effective storage of emails
  • With the support of the Partners, organising events including; evening drinks, client/candidate
  • Responsible for the contractual elements of the interim placements ie, compliance, IR35 and contracts
  • Responsible for the smooth running of the office; facilities management, stationery & catering orders, front of house
  • Marketing support; social pages, company brochures, presentations etc
  • Provide holiday and sickness cover for the other EA and or Operations Manager
  • Other administrative or duties as required.

 

 

Person Specification:

  • At least 2- 3 years PA experience within professional services environment
  • Excellent communication skills
  • Excellent organisational skills, ability to work under pressure and to tight deadlines
  • Strong team player – ability to work well with others across teams
  • IT Skills: CRM system, Word, Excel, Power point etc.
  • Previous PA/EA experience supporting a team
  • Prior recruitment or executive search experience is desirable
  • A-level or equivalent education and above
