Junior PA for Family Office support role

We have a fantastic Junior PA role in a highly regarded Family Office supporting 2 Senior PAs with an engaging mix of administrative and practical tasks. Our client is looking for a professional, discreet and energetic individual; someone with excellent communication and organisational skills and a proactive, muck in attitude. If you have a background in property management or interior design, that would be an advantage.

The team are incredibly supportive and this would be a wonderful opportunity to learn from the best!

Responsibilities

  • Supporting the Operations Director and her team.
  • Meeting and greeting guests.
  • Overseeing meeting room schedule.
  • Running errands for the family.
  • Booking property maintenance appointments.
  • Updating the office’s online property management portal.
  • Covering reception during holiday and sickness.
  • Assisting with travel booking.
  • Getting involved with the office management (ie: post, stationery etc).
  • A variety of ad-hoc tasks relating to the family’s properties in the UK and abroad.
  • Working alongside a hardworking, but fun, team to ensure everything runs smoothly.
  • A certain amount of time will be spent outside of the office, taking deliveries, sorting items in storage, obtaining samples etc.
  • Occasional driving as and when required.
  • A basic-to-good knowledge and interest in property management.

Experience

  • 2-3 years of experience working in an office environment.
  • A keen interest in building and design would be beneficial, but not essential.

Characteristics and Requirements

  • Must be an energetic individual with bags on enthusiasm – personality fit is key!
  • Excellent communication skills with a confident telephone manner.
  • Excellent organisational skills with a good eye for detail.
  • Good working knowledge of Microsoft Word and Excel.
  • Must be happy working as part of a team but also able to work under their own initiative.
  • Discreet and hardworking with a can-do, happy to roll up shirt-sleeves attitude.
  • Some experience of property management and/or interior design is preferred.

Hours: Monday to Friday 8:30am to 5:30pm with occasional out of hours contact.

Holiday: 25 days per year + bank holidays
