A well known property management business in Birmingham are looking for a Facilities Coordinator to join a flagship contract in the city centre. The business manage a key central site, and are looking for a coordinator to support the FM team.
The ideal candidate will come from a coordinator or administration background at a property or FM business.
Key Responsibilities:
Administration
Raise Purchase Orders and track expenditure, ensuring suppliers invoice 30 days after the works are complete and the invoices are filed.
To meet and greet all contractors and visitors into the management office.
Ensure the management office functions are carried out including stationary orders, and IT equipment. First aid boxes kept stocked. Water machine is serviced and kept stocked. Ensure the hygiene facilities and air fresheners are being serviced. All documents provided to you are filed correctly either hard copy or on the shared drive.
Following completion of a Permit To Work (PTW) ensure these are filed correctly along with the respective RAMS.
Carry out a weekly window cleaning audit and ensure the sign off sheet is completed.
Daily monitoring of RiskWise and ensure documentation is loaded correctly. Inform the Facilities manager if H&S document is overdue.Car Park
Manage the car park tracker system ensuring the spreadsheet information is up to date, this includes contact numbers, email addresses, number plates, colour code status and comments.
Issuing/blocking of car park fobs.
Providing induction to new car park users.
Dealing with new licenses, renewals, and terminations.
Provide regular reports on car park statistics and usage.
Deal with any enquiries/complaints in regard to the car park. Liaise with Facilities Manager if there is an unresolved issue.Key Skills/Knowledge/Experience
IT Literate and able to use all Office applications to required standards, producing letters, spreadsheets and emails.
Experience in working IT systems and data input.
Excellent customer service, interpersonal and communication skills
Ability to work on own initiative, and as a team, within a fast moving environment
Experience in customer service.
In return you'll receive a basic salary of up to GBP22,000 + benefits
