This is a fantastic opportunity for someone early on in their PA career to take on a fast paced and hugely valued role supporting a great team. We have worked with this client for many years and as well as being a leading Executive Search firm they also have a fabulous company culture with a family feel. The role is supporting a top Partner and his team of 5. While they have high standards and need someone who can action tasks quickly, and with great attention to detail, they are also a really fun bunch to work with.  Duties will include but not be limited to:

  • Full diary management for the whole team
  • Primary responsibility for answering the phone and acting as first contact point for enquiries from clients and candidates and other (external) PA’s
  • Arranging client / candidate interviews
  • Booking meeting rooms for client, candidate and team meetings
  • Logging all meetings on CRM system
  • Processing and formatting all CVs, uploading to the CRM system and coding them correctly
  • Producing/proof-reading/formatting and binding all capability documents, proposals, search reports, engagement letters etc. for clients and uploading them onto FF
  • Arranging travel for team, clients and candidates where appropriate (including visa applications where necessary)
  • Making sure the client and candidate have all necessary documents ahead of interviews
  • Setting up VC/Skype/Zoom/Teams calls
  • Working across different time zones to arrange international calls and meetings
  • Oversee management of all ‘business’ spreadsheets e.g. forecasts, revenue, pipeline
  • Compile monthly expenses and submit to accounts
  • End to end management of the induction process for new employees
  • IT support for the team where necessary
  • Covering the reception desk when necessary
  • Covering other PA absences and general office management

Key attributes for this role are a confident, capable nature and excellent communications skills wrapped up in a positive and proactive outlook. They will consider people with anywhere between 6 mths to 3 years admin/PA experience however central to this someone having the aptitude and ability to think on their feet, work in a fast paced role and support a range of confident personalities.
