Leading investment management firm based in the heart of Mayfair is looking for a an assistant to join the asset management team to further enhance and contribute to the management and monitoring of the growing portfolio and play a role in the day-to-day running of the office.

This is an opportunity for a confident and capable assistant to make the role their own, take on responsibility for monitoring the team’s targets and delivery, project manage the deployment of the new asset management database and provide a strong support base for the Directors. This role will allow the successful candidate access to Board level reporting, counterparty relationship building, autonomy and the chance to play a pivotal role in the management of assets, whilst being responsible for the smooth running of the office on a day-to-day basis.

Duties:

  • Project Management:
  •  Implementation and maintenance of the asset management database, ensuring data integrity
  • EA support to the asset management Directors
  • Diary management
  • Assisting with ad-hoc requests
  • Monitoring of the asset management email inbox, assigning tasks appropriately
  • Organise and assist the asset management function to be as effective as possible
  • Work with Asset Director to create/own/maintain trackers to keep on top of works schedules which will be reported to the Board
  • Prioritising their agenda/tasks, monitoring against deadlines
  • Board Reporting
  • Assist the Directors in the drafting and collating of data for the quarterly Board reports
  • Onboarding of new assets from the Transaction Team and monitoring of post completion works and timetables, including obtaining surveyor signoffs to grant the release of retentions
  • Build and maintain relationships with third parties
  • Being the front person for the office and ensuring the smooth running on of the office on a day-to-day basis, including:
  • Managing meeting rooms
  • Welcoming guests / sorting refreshments  
  • Restocking of the amenities (stationary, kitchen refreshments)

Skills:

  • Educated ideally to degree level
  • 2 years’ experience in a similar role
  • Experience of co-ordinating projects 
  • Very proficient in MAC, Excel, Word, and PowerPoint 
  • Diligent and able to work autonomously and as part of a team
  • Strong attention to detail
  • Excellent communication skills and ability to develop and maintain collaborative relationships 
  • Ability to work in a fast-paced and dynamic environment
  • Robust and resilient with excellent interpersonal skills
  • Positive, can-do attitude
