Our client is an independent firm providing private clients and institutions with a highly personalised financial planning and investment management service. All services are provided by highly qualified professionals with experience of servicing clients for many years, through different economic cycles. They believe in building long-term relationships with their clients based on trust and high levels of service. The role is to support the CEO as he focusses his attention primarily on various external meetings with clients, prospects and other professional connections of the company. Due to the incumbent EA taking some time off, they wish to recruit, on a fixed term one year contract, an EA to support the CEO who is a founder of the business.
Hours: Full time
Location: Remote from your own home as well as Mayfair office
Salary: £40k - £45k dependent upon experience
Start Date: ASAP

Responsibilities include, but not limited to:
- Co-ordinating electronic diaries both for internal and external meetings
- Organise and schedule meetings / lunches / dinners and attendance at other external and internal events
- Attend meetings where relevant, keeping the notes up to date and chase agreed actions
- Keep in close contact with members of the new business and marketing teams and process agreed actions
- Meet and greet visitors
- Manage email inbox, flagging important correspondence and following up any relevant actions that are required. Responding to and redirecting electronic correspondence where appropriate. Unsubscribing to junk mail.
- Acting as a point of contact and directing enquiries as necessary, screening telephone calls and emails
- Double checking emails/written correspondence before they are issued
- Keep third-party/prospect client data up to date and issue regular correspondence to selected contacts for and on behalf of CEO
- Organise corporate hospitality, employee social events, executive away days and other events as required
- Accurately process expenses
- Direct relevant invoices to the accounts team
- Liaise with accounts team to ensure ad-hoc employee bonuses are arranged and distributed accordingly
- File documents relating to annual tax return and ensure that January and July payments are settled in a timely fashion
- Daily management of LinkedIn account
- Ongoing management of CPD record
- Log holiday on HR system and update electronic diary
- Ad hoc personal shopping and arranging personal appointments
- Ad hoc project support
Candidates must be / have:
· Good organisational skills with ability to multitask and work to tight deadlines
· Excellent written and verbal communication
· Strong software skills with good knowledge of MS Word and Outlook
· Effective problem-solving skills appropriate to the role
· Recognition of the need for complete discretion/confidentiality
· Able to deal with people at all levels within the organisation and externally
· Able to build rapport with employees, customers and suppliers
· Able to manage and prioritise workload
· Willing to take initiative and be proactive
· Have a positive, can-do attitude and keep calm under pressure
· Excellent attention to detail, record keeping and organisational skills
· Confident and competent communication skills – verbal and written
· Experience as an EA to an Executive
