A new opportunity has arisen for an Executive Assistant to join a leading professional services firm based in central London, which has an excellent working culture. This role will be to provide an exceptional EA service to a small number of the leadership team.

Duties include;

  • Complex diary management and acting as an extension of executive in absence

Comprehensive email management – checking, prioritising and summarising emails daily

  • Collating documentation for meetings
  • Working closely with the Marketing Team as required, including helping produce tenders and events
  • Taking a proactive approach to building relationships with clients and their PAs in a professional manner
  • Proof-reading documents
  • Involvement in committees and steering groups relating to business support processes for the wider firm
  • Coaching and mentoring team administrators as and when required
  • Booking video calls and meeting rooms and arranging lunch and refreshments if required
  • Building relationships with clients and their PAs
  • Organising trips and producing itineraries
  • Submitting expense claims
  • Drafting and typing confidential matters for partners
  • Printing agendas, presentations and meeting papers
  • Taking responsibility for the billing and AML process and delegating appropriate tasks
  • Producing PowerPoint presentations
  • Proofreading documents
  • General administration duties
  • Minute taking as and when required  

 

Qualifications and experience;

  • Substantial previous experience of working within a busy corporate environment is essential
  • Excellent client care skills
  • The ability to demonstrate flexibility in meeting internal and external clients’ demands
  • Excellent communicator with strong organisational skills
  • Strong time management skills and the ability to work to tight deadlines
  • Confidential in approach and always acting as a positive role model
  • Strong MS Office knowledge
  • Good written English
