Our client is looking to recruit a permanent PA/Office Manager.  Based on reception and working in an office of 30 members of staff (Covid restrictions allowing), your duties will include:

  • Diary management, for the Managing Partner and wider team;
  • Answering telephone calls in a timely fashion, taking clear and detailed messages;
  • Organising meetings, including booking venues, ordering refreshments and basic minute-taking in meetings if required;
  • Booking and arranging international travel, transport and accommodation;
  • Overseeing the creation of new client packs and other documents, and maintenance of the company's database
  • Arranging social events for both clients and the team, including Summer and Christmas parties;
  • Reminding Managing Partner of important tasks and deadlines;
  • Typing, compiling and preparing reports, presentations and correspondence;
  • Ordering office supplies and liaising with suppliers as necessary;
  • Organising office maintenance e.g. electrician, liaising with landlords where necessary, cleaners, etc;
  • Implementing and maintaining procedures/administrative systems;
  • Liaising with staff, suppliers and clients;
  • All ad-hoc office administration;
  • Taking credit card payments;
  • Arranging couriers;
  • Updating the company’s intranet; ensuring the website and LinkedIn page is up to date, doing tweets on Twitter
  • Ensuring reception and meeting rooms are kept tidy;
  • Producing offer letters, annual letters of pay increase, updating the staff database with contact information etc.
  • Assisting and managing the firms whole firm meeting including venue booking etc;
  • Conducting regular Health & Safety reviews

The successful candidate will:

  • Have previously worked as a PA.
  • Be happy to work in a small office and be based on reception.
  • Have excellent organisational and communication skills.
  • Be a team player
  • Good Microsoft Office skills - Word, Excel, PowerPoint, Outlook
  • Be detail orientated

Salary is £32,000 - £38,0000 benefits include 25 days holiday, death in service, pension, annual pay review. Hours are 9am to 5.30pm Monday to Friday.
