International manufacturing firm is looking for an experienced Sales Administrator to become part of their hardworking and committed team and someone who will help grow an already expanding international business.

The right candidate will be educated to degree level and have a financial background i. solid relevant experience, AAT or Financial Qualifications as well as a high degree of IT literacy and expert Microsoft Office skills.

The candidate will have a proven track record of implementing systems and processes to effect excellent customer service delivery and customer experience and working for an SME the candidate must have the will and ability to turn their hand to a wide range of tasks and responsibilities.

The Sales Administrator's role requires them to think logically and work methodically. They must be a good team player and have a high degree of motivation. This role would suit a proactive and friendly individual with experience in a similar role and ideally including some shipping and commodity coding knowledge.

You need to be numerate, organised and be able to prioritise your workload accordingly. Salary £25-35,000 DOE plus great benefits and parking!

You will be working in luxury offices in Surrey. Working hours are 8-5 Monday - Thursday and 8 - 4pm Friday with 1 hour for lunch. Free parking is available on site.

1 Sales Administration

  • Hourly email check for customer Purchase Orders
  • Acknowledge orders to customers, reviewing price and delivery requirements and ensuring that minimum stock levels are not breached. Liaise with Production regarding potential low stocks
  • Preparing customer Quotations. Email customer copying the Account Manager
  • Allocation of Serial Numbers
  • Production of Sales Invoices and of Delivery Notes
  • Export documentation as required
  • Notify customers with shipping instructions
  • Liaise and maintain contact with customers and assist with any queries
  • Send out shipping schedule, daily, to Production, Sales, Stores and Service via email. Liaise with Customer Service Administrator regarding combined shipments
  • Email Sales Managers/US/German office with copies of Customer Orders and Invoices, daily
  • Process new account application forms on the CRM system
  • Review existing and apply for new credit limits as required
  • Set up new accounts on Accounts System
  • Send out customer statements, monthly
  • Maintain Credit control records and follow up with customers as required. Liaise with Account Manager regarding overdue accounts
  • Site Visit Report
  • Sale or return Administration
  • Weekly email Sales statistics to Directors and Managers

2 Reception

  • Answer telephone calls to provide first line telephone reception services, as well as setting telephone messages as required
  • Provide reception service to visitors
  • Frank and prepare post for collection, including topping up franking machine funds, as required and ensuring post is collected on daily basis.
  • Monitoring and replenishing stationery stock levels as required. Ensuring stationery stores are kept tidy

3 General Administration

  • Filing, printing, binding and scanning documents
  • Update CRM system with Acknowledgements, Purchase Orders and emails for future reference. Update and monitor with customer information
  • Primary responsibility for timely monitoring Sales and Enquiries mailboxes
  • Fulfil year end archiving requirements
  • Email stock and attendance weekly schedules to employees and associates
  • Liaising with US, German and French offices providing Sales and Admin support as required
