Our client, an international investor, is looking for a PA to support the Infrastructure Team that sits within the Investment Team, and work closely with other Administrators within the Investment team to ensure appropriate cover for all teams at all times, liaising with international departments ensuring the coordination of meetings, conference calls and travel schedules.
Key Responsibilities:
- Diary Management, organising both internal and external meetings
- Using MS Planner to run team meetings /actions / agenda / prioritisation
- Registering participants to AGMS, ABs and conference calls and keeping a log
- Managing Attendance at functions and conferences and making national and international travel arrangements for the team
- High touch inbox management, responding, prioritising, delegating, recording, holding emails, etc
- Providing support for the team’s weekly meetings (producing the agenda, compiling documentation and minute taking)
- Ensuring team’s deadlines are met
- Taking calls and messages as appropriate
- Providing high touch inbox management; prioritising, delegating, recording and archiving emails.
- Provide general administrative support (providing reception cover and standing in for other administrators)
- Updating the investment database to track meetings and contact details in CRM
- Administrative issues, diary management, travel arrangements for team
- Processing expenses on Concur
- Organising team offsites and team lunches (taking notes during offsite meetings)
Knowledge and Experience Required:
- Good knowledge and understanding of Microsoft Office software packages including planner to run and meetings and delegate actions
- Flexible approach to work and ability to manage a variety of tasks simultaneously
- Excellent organisational skills and ability to plan/manage own workload
- Good attention to detail and ability to work to a high degree of accuracy
- High level of professionalism, confidentiality, discretion and judgement
- Ability to work to tight deadlines/under pressure with minimum supervision
- Excellent communication skills, both written and verbal
- Ability and willingness to gain a good understanding of the team’s working practices and processes
- Experience of providing administrative support to a busy team is essential, preferably within the financial services or consulting industry
- Minimum of 3 years experience in a similar role is essential
