PA/Team Assistant

An innovative tech start up based in Oxford is seeking an enthusiastic, proactive and experienced PA to join their dynamic team. The role may be best suited to someone who has small company background experience or someone who thrives in fast-paced, exciting environments. 

Main job purpose:
- To provide support to the executive team and members of the wider team of at least two biotech entities by providing professional and efficient administrative support.
- Focussing on a wide-variety of work and projects across multiple businesses, you will have clear visibility on the impact and results your work delivers.
- This role is perfect for someone who is eager to get involved in a start-up environment working within the biotech and pharmaceuticals space.

Main role responsibilities:
• Full diary (inc Zoom dial ins) & some inbox management for two company CEOs. Reminding the leadership team of important tasks and deadlines.
• Acting as the first point of contact & on behalf of CEOs.
• Booking and arranging travel, transport and accommodation for the leadership team and extended team as necessary.
• Management of annual calendar meetings database
• Collating and filing expenses using internal accounting system (Xero).
• Book meetings/Zoom
• Internal Conference management
• Support programme of Wellness & social calendar of events (Virtual & In person)
• Support office management as needed - enquiries, filing, stationery, AV (Zoom rooms), cleaning services, plants
• Liaising with employees, suppliers and contractors/collaborators.
• Typing, compiling and preparing reports, presentations and correspondence.
• Maintaining databases and filing systems in line with company policies
• Work with Operations Manager & EA on operational tasks

Skills needed
• Experience in using G-Suite & G-Mail & advanced knowledge of the latest Microsoft software, specifically PowerPoint, Word & Excel
• Excellent organisational and time management skills.
• Good written and spoken communication skills.
• Accuracy and attention to detail.
• A calm and professional manner.
• Comfortable with continuous change with a flexible and adaptable approach to work.
• Process Driven
• The ability to use your own initiative, be curious and to work unsupervised as required
• Enjoys working as part of a team to achieve a common goal with a can-do attitude but also an ability to work independently and meet deadlines.
• Tact and discretion for dealing with confidential information.
• Ability to research and find information for the company.

Package:
- Salary: up to £50,000
- Core Hours: 8.30am-5.30pm (with flexibility should you need it)
