We are looking to recruit a driven and enthusiastic Business Admin Assistant and Office Support professional to join a busy and growing citizen investment advisory firm in the heart of the City of London. Joining a team of 5, you will be responsible for managing all business administration and organisation to ensure the office runs smoothly and the team are able to work efficiently.

You will be proactive, positive, ambitious and eager to learn – they are looking for an energetic individual who is able to manage multiple tasks at any one time, handle confidential information with care, and communicate effectively with Directors and senior stakeholders. It is essential to build strong relationships with colleagues and clients by providing a service that is professional, transparent and trustworthy. 

The ability to work independently and use initiative and manage your workload are also essential attributes - you must be able to work well under pressure and demonstrate flexibility to meet deadlines, while maintaining a positive attitude and providing excellent customer service.

Working hours are 08:30-17:30, Monday to Friday, with flexibility to work from home when required.

DUTIES TO INCLUDE, BUT NOT BE LIMITED TO:

  • Responding to correspondence via post and email
  • Answering and transferring telephone calls
  • Meeting organisation and preparation across multiple time zones
  • Carrying out stock market research for CEO
  • Carrying out technology & pharmaceutical research for CEO
  • Booking flights, accommodation, producing travel packs and itineraries
  • Maintain filing systems  
  • Meeting and greeting visitors of all levels of seniority
  • Ensuring the office is kept well maintained with supplies
  • Assisting Directors to prepare, collect and collate information
  • Various administrative tasks
  • Occasionally travel overseas on company duties when required

ESSENTIAL CRITERIA:

  • High standard of education, ideally graduate level who wishes to progress within a business admin role
  • Minimum of 2 experience in a similar office-based role working with senior members of staff
  • Excellent English - verbal and written communication skills
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
