Salary: £60,000 - £90,000 gross per annum

We are looking for an experienced Executive Assistant for a senior role within a family office in Chiswick, South West London.

The Executive Assistant will support the UHNWI with business and private matters on an 80/20 basis. The role will entail anticipating and understanding the individual’s needs and providing comprehensive, detailed and timely administrative, business and personal support. The EA will have the support of a Personal Assistant within the office.

This is a full-time permanent position, although based from the family office in Chiswick, the EA will be expected to be on-call outside of office hours; so, flexibility is essential. The role will involve some overseas travel, specifically to the US so willingness to travel is required.

You will manage and coordinate the day-to-day business affairs of the individual and be his right hand to ensure his time is utilised efficiently. You will be responsible for coordinating all business travel, diary, restaurant bookings and social invitations, liaising with professionals and looking after personal affairs as well as supporting him in all aspects of running his various businesses and private household. You will also have prior experience in managing company accounts.

The ideal candidate will be proactive, discreet and adaptable with 5+ years of experience working as an Executive Assistant/Chief of Staff for an UHNW individual. Experience running a private household and dealing with domestic staff is essential. You must possess a meticulous eye for detail and have excellent communication skills, you must be able to use your initiative to work to the highest level and possess exceptional administrative skills.

Duties and responsibilities;

  • All personal and business administration
  • Working alongside the individual’s Personal Assistant
  • Overseeing an extensive car collection and ensuring vehicle tax and permits are up to date
  • Co-ordinating all business travel logistics, hotel arrangements and flights etc and maintaining records
  • Producing travel itineraries, including all required documentation
  • Managing company accounts
  • Managing existing household staff and recruiting new team members
  • Liaising with household contractors
  • Acting as the lynchpin between the individual and his domestic and office staff
  • Extensive diary management
  • Making reservations for meetings/events at appropriate restaurants and venues
  • Overseeing all financial transactions and collating and submitting expenses
  • Managing household accounts
  • Liaising with accountants
  • Attending relevant meetings and assisting with a variety of special projects
  • International travel

To be considered for this role you must;

  • Possess a minimum of 5+ years’ experience as an Executive Assistant
  • Be eligible to work in the UK
  • Have a valid passport
  • Have excellent contactable references
