This is an amazing opportunity for a highly experienced Business & Private Assistant to undertake a 6-month fixed term contract, starting in January 2021, to support a highly successful businessman. Joining a small team in their Mayfair office, you will assist with all business and private matters and ensure that everything in the principal’s life runs smoothly at all times.

With a demanding and fluid schedule, international travel and growing business demands, the principal is looking for first-class support to assist in managing their hectic lifestyle and business interests. This is a demanding and varied role within an everchanging environment - the office operates at a fast pace and requires agility and flexibility from the successful candidate, as well as professionalism and resilience.

This is predominantly a London-based role, however, there may be a need to travel internationally at times and so flexibility may be required.

DUTIES TO INCLUDE:

  • Complex and extensive diary management – coordination of meetings and calls across multiple time zones in frequently changing diaries.
  • Manage international travel arrangements, including visas, accommodation, itineraries and schedules.
  • Global client liaison and acting as point of contact for the principal – liaising with high-profile business associates and establishing strong relationships with all external and internal contacts.
  • Overseeing properties both in the UK and internationally, including bills, insurances, interior design, managing contractors and maintenance.
  • Management of household staff and drivers in UK and overseas.
  • Effective yet professional gatekeeping, ensuring the principal’s time is protected.
  • Correspondence Management – read all incoming post and emails and ensure the principal is aware of important matters - compose emails and draft responses and correspondence.
  • Meeting preparation, research and presentations, detailed travel packs and managing confidential information.
  • Managing all personal and business bank accounts, making payments, managing statements and credit card reconciliation.
  • Liaising with advisors, accountants and contractors – handling any insurance claims and managing tax records.
  • Making dinner reservations and managing any personal appointments.
  • Managing filing system and ensuring they are kept up to date.
  • Office management duties to include ordering stationery and equipment, liaising with suppliers, negotiating contracts, accounts and invoice management.
  • Ad-hoc errands, shopping and administration.

ESSENTIAL CRITERIA:

  • Fluency in English & French to business level – 95% of work is conducted in French.
  • Extensive prior experience as PA and/or Executive Assistant.
  • Excellent business acumen and professional manner.
  • Proactive and able to work at a fast-paced.
  • Adaptable and able to manage ever-changing environments.
  • Resilient and unflappable.
  • A team player who is willing to muck in where required.
  • Excellent proficiency with Microsoft Packages and Outlook.
  • Flexibility and willingness to travel if required.
  • Excellent checkable references.
