The Client Experience Executive role is multi-faceted, with a wide range of different administrative and research tasks which need to be handled efficiently while also using high level emotional intelligence and relationship management skills. Our company and therefore the role are constantly evolving so the post-holder also needs to be agile and willing to learn and try new things.

Reports to
The post-holder will report to Racquel Brissett, Head of Client Experience, and Corinne Mills and Jonathan Mills, Managing Directors of Personal Career Management.
Key Working Relationships
There will be extensive cross team working with other members of the Head Office team including Emily Robinson, Client Resource Manager, Maria Stuart, Head of Marketing and Helen Anderson, Finance Manager.
The post-holder will also have daily contact with the franchisees and coaching team as well as our individual and corporate customers.
Location
The post-holder will be based at Personal Career Management’s headquarters in Chalfont St Peter. However, whilst social distancing restrictions are in place, it is expected that the post-holder will work remotely with occasional meetings in the office as required.
Hours
This post will start on a part-time basis while on-boarding and then it is envisaged it will become full time at 40 hours per week, 9 am to 5.30pm with 30 minutes for lunch. However, we are open to flexible working.
Duties
As our Client Experience Executive you will help provide an efficient administrative service by liaising with clients to provide a first class and personal customer service, maintaining information systems, organising meetings, conducting research, assisting team members with a variety of tasks and at all times being an excellent PR representative for the company. Other key duties include:
- Answering the telephone for callers to the office and responding to live chat enquiries
- Writing general correspondence, emails etc and responding to email enquiries
- Data input into the Salesforce database, collating client enquiries and tracking their journey, inputting client notes and producing reports
- Dealing with potential clients, processing contact forms and contacting them appropriately to establish their needs and explain the service and arrange for further discussions as needed
- Answering a wide range of queries from clients, coaches, suppliers etc and briefing colleagues as needed
- Monitoring, scheduling and processing payments, checking invoices and dealing with queries and producing Partner reports
- Provide PA support to the MDs of the company where required
- Scheduling meetings for clients, coaches, group meetings etc and sending out communications
- When in the office, looking after facilities management including ensuring guests are greeted, providing refreshments, ensuring the offices are well-presented and meeting rooms are set up as required.
Client Resources
- To support clients in their job search by providing research information using in-house databases and other resources
- To ensure supply of information and marketing materials etc
PR and Marketing
- To respond quickly to media and PR requests and ensure these are dealt with promptly
- Help produce content, blogs and other materials for marketing and PR purposes including social media channels
- Updating campaign lists and assist with marketing campaigns
- Help in the production of newsletters etc
- Maintain and up-date the website
- Liaise with prospective customers and related organisations
- To help at events and attend exhibitions as required
Other
- To carry out any other duties which may be required from time to time
About You
In relation to this Client Experience Executive role, we are looking to speak with candidates who demonstrate the following skills, experience and qualifications:
- Administrative experience in an office including telephone answering, email correspondence and diary management
- Working in a customer-focused environment ideally in a professional services type environment
- Working with information systems, inputting data accurately and producing reports
- Producing written materials, correspondence etc
- Experience working in coaching/learning and development/HR/recruitment or marketing (desirable)
- Highly organised, efficient and accurate administrative skills
- High level emotional intelligence especially relationship building, empathy and self-awareness
- Superb verbal and written skills

It is essential that you are able to demonstrate knowledge of office administration processes along with excellent IT literacy, especially Microsoft Word and ideally Excel. Ideally, you will have experience using database information systems eg Salesforce, exposure to career management / recruitment and experience within marketing or sales.
