Our global law firm client has an exciting new opportunity for a Recruitment Coordinator to join their London office on a permanent basis. Working closely with the Head of Recruitment and Recruitment Advisor, the purpose of this varied role is to work in the Recruitment team on all aspects of administration across fee earner and business services recruitment as well as on-boarding of all employees and partners across EMEA and Asia.

Key responsibilities will include;

  • Engaging positively and answering queries from recruitment agents, candidates and internal stakeholders as and when required and managing the Recruitment team's inbox on behalf of the team
  • Acknowledging and responding accurately to emails from stakeholders, the HR team and recruitment colleagues, applications including speculative enquiries
  • Administering and maintaining the firm's Preferred Supplier List and agency contact list
  • Arranging and attending agency briefings and events (internal and external) as appropriate, including putting together and collating firm briefing documents, and presentation slides
  • Updating and advertising all job descriptions
  • Updating social media content and posting roles to job boards
  • Accurately updating, maintaining, and reviewing MI data from our applicant tracking system including creating new vacancies on the system, managing candidates through the recruitment process, closing the roles once the jobs are filled
  • Liaising with all hiring managers and partners stakeholders, candidates, and recruitment agents, to arrange interviews and assessment centres, including booking meeting rooms and relevant venues for interviews
  • Collating, producing, and issuing offer documentation
  • Managing the pre-employment checking process
  • Managing the background screening process for all candidates through external provider and the day to day relationship with the provider to ensure a seamless service
  • Collaborating with other departments to work on projects and presentations to support the wider business, e. employer brand, inclusion and diversity and salary review
  • Maintaining filing systems, e. recruitment and personnel files
  • Ensuring that administrative duties are carried out in a timely manner, e. offer documentation and new joiner documents
  • Processing of invoices, ensuring that they paid promptly and according to the correct internal process Providing an excellent client service at all times
  • To adhere to HR processes and procedures
  • Keep any relevant recruitment policies (e. our Referral Scheme) and systems (e. ATS, recruitment website and careers pages on the external website and intranet) up to date

The ideal candidate will have prior recruitment experience in a law firm or professional services firm. You must be an enthusiastic self-starter with highly effective communication skills and a strong client service ethic. The ability to build strong and effective relationships across the business is essential, as is excellent organisational skills and attention to detail.
