Our client is an ambitious charity and are pursuing a strategy for growth to ensure that their services have the maximum reach and positive impact where help is most needed.
The Executive Assistant role within the charity is a pivotal role that provides personal support to the Chief Executive as well as being the first point of contact for the Board of Trustees and external stakeholders of the charity. The role requires a mix of strong interpersonal and relationship skills with a high standard of administrative and organisational ability.
Key Responsibilities:
- Managing the CEO’s diary and travel, including booking travel, co-ordinating meetings and ensuring they are always in the right place at the right time
- Support the CEO in developing managing and facilitating external relationships with partners of the charity
- Preparing for meetings, and events including producing, collating and distributing, information packs and finalising presentations
- Managing the CEO’s inbox, answering, flagging, escalating or taking action on emails where appropriate.
- Handling other communications on behalf of the CEO and Exec team.
- Drafting collating, editing and proof reading, newsletters, reports, articles and submissions
- Playing a key role in the charity’s communications both internally and externally
- Providing secretariat support to the board of trustees including setting the annual meeting schedule, general correspondence with trustees, preparing Board papers and taking minutes in board meetings
- Preparation co-ordination and minute taking of SMT and team meetings
- To act as a positive representative for the charity and to model the values and principles of the charity in all dealings with funders, strategic partners, staff and service users
- To undertake such other duties as may be required that are commensurate with the scope and level of responsibilities of this post.
- Support the COO with organisational projects and diary management as needed examples below:
- CRM
- Migrations
- Finance/Fundraising Support
- Oversee/manage donation log maintenance.
- Support fundraising with drafting and sending out Thank You letters to various donors.
Requirements:
- Minimum of 3 years working in a senior administrative role within a charitable or similar business environment
- Proven experience of working with a range of stakeholders including Board-level, senior managers and public/customer interface
- Highly organised with excellent attention to detail
- Ability to prioritise workload and work under pressure
