Lovely new Temp-Perm EA/Office Manager role working for the CEO of a leading professional services consultancy!
With additional ad hoc support to the leadership team, the role offers a wide variety of EA tasks and objectives. Further responsibilities include London office management in terms of liaison with the landlord, management of the various services and stocking of supplies for the office, therefore this role will suit someone who enjoys being busy, the go-to person and has a great ‘can-do’ attitude.
The CEO is also the formal chairman of the Board of Directors, so the tasks are for both CEO/chairman roles.
Responsibilities include:
- Diary, travel and email management
- Scheduling internal and external team meetings
- Preparing and taking actions in specific meetings using company tools
- Collate management and team information and produce accurate and timely management reports on behalf of the management team as directed
- Evaluating the processes used by the team and identifying ways in which systems may be made more effective and efficient
- To support the CEO / CFO with responsibilities concerning the Board of Directors meetings
- Managing the Board Pack preparation (i.e. ensuring that Senior Managers adhere to timetable) and distribution
- Board Meeting Minutes
- Preparation of presentations for the CEO
- Confidential project work as and when required and instructed by the CEO
- Ad-hoc duties as required by the business
- Managing and submitting CEO expenses
Office Management:
- To develop and maintain office systems
- Book and organise office catering for client meetings
- Manage company DocuSign account
- Post, internal communications
- Reception services, i.e. meet and greet clients attending meetings
- Room and key management
- Coordinate company breakfasts / meals
- Book trains, flights, hotels, etc. as required by Exec staff
- Book and manage staff training
- Project Manage office relocation as required including finding new premises and co-ordinating office moves or expansion
- To take responsibility for negotiating contracts with various suppliers
What we are looking for:
- Experience of working in a fast-paced and pressurised environment as an EA/PA
- Educated to a high standard, degree level or equivalent ideally
- Excellent command of the English language – both written and verbal
- High level of confidentiality and discretion
- Attention to detail, reliability and adaptability
- Exceptional organisational and interpersonal skills
- Superb customer service and communication skills
- A working knowledge of all Microsoft packages including OneNote, Teams, SharePoint
