My client is an international UHNWI with a French Family Office based in Mayfair. I am looking for an  highly efficient Administrator to support the Principal for 20 hours a week. 

• Answering emails and all general correspondence in English and French

• Liaison with other international offices/distributing information and docs

• Any general administration required in both a personal and business capacity

• Acting as a gatekeeper for the office, answering emails, phone calls and directing them to the Principal or appropriate person. Ensuring that the office is in good order, clean, organised and stocked with coffee, tea, stationary etc. 

• Send bank statements and expenses to the external accountants on a monthly basis. File documents in the appropriate folders, both physically and on internal hard drives. 

• Send any bills and invoices to the Principal for approval before payment processing. 

• Occasionally working with the personal assistants with any overflow and additional tasks which could include gift shopping, maintenance of property in Geneva (for example if an electrician is needed due to a light bulb blowing)  

• The bulk of the work will be handling queries from the Family office, requesting the principles signature or payments.

 

• Good oral and written French as 50% of correspondence will be in French 

• Ability to work with minimal supervision and use initiative 

• 5 years+ admin experience

• Excellent attention to detail

• Happy to often work alone

• DISCREET – Principal is very private

• Well organised, confident

• Advanced Microsoft Office
