PA to Partners – Global Commercial Real Estate

This high profile global organisation with fabulous West End offices is looking for a dynamic PA to support a Senior Partner with additional support to 3 other Partners. The department is known for its pacey, vibrant culture and is highly client facing.

The Personal Assistant will work alongside another long standing PA who will welcome a newcomer and integrate them into the team quickly.

The Partners are looking for a PA who is outgoing and vibrant, used to operating at senior level for a demanding team. The confidence to push back and work with different personalities is essential, as is a great sense of humour, strong MS Office (including excel and powerpoint) and competency around invoicing and basic finance.

Experience in a fast paced professional services company is essential, as is experience of supporting a client centric team.

Day to day duties will include:

  • Ensure Partner’s diary, appointments and travel are efficiently organised
  • Act as gatekeeper to Partner’s emails and often responding on their behalf
  • Production of presentations, reports, proposals in line with Partner’s core outputs
  • Ensure internal client database is kept up to date
  • Assist with production and maintenance of marketing materials
  • Become a focal point of contact between other business unit Partners, staff and clients
  • Assist team in meeting their financial reporting objectives and line management duties, i.e. client docket creation, project pipeline, project costs, expenses, invoices, billing etc.
  • Schedule, book and arrange resources for conferences, Skype presentations, meetings, appointments and travel plans
  • Ensure accurate re-scheduling of diary appointments, often at short notice, for extremely busy Partners
  • Take accurate minutes at meetings when required
  • Arrange team days out and social events.
  • Organise induction of new team members, i.e. set up introductory meetings with colleagues and clients as appropriate, order IT kit, arrange team lunch, explain team procedures, etc.
  • Proactively seek and undertake on the job and formal developmental activities to broaden experience and knowledge

Experience and Expertise Required:

  • Solid corporate PA experience in a fast paced, professional services environment
  • Experience of supporting a wider team with all PA tasks
  • Experience of invoicing
  • Internal client relationship management skills
  • Excellent IT skills (MS Word, Excel, PowerPoint, Outlook, Internet, Skype)
  • Experience putting presentations together in PowerPoint
  • Experience working in the property sector an advantage
  • Good command of written/verbal English
  • Ability to multi-task and prioritise
  • Good communication and interpersonal skills
  • Influencing and assertiveness
  • Professional approach
