Our client is an Investment Management Company in the City. They are looking for a PA to join their team for a 1 year Maternity cover. You will be responsible for providing professional and proactive support to the Managing Directors of the Distribution team.

Responsibilities:

  • Coordinating and managing the MDs busy diarys, scheduling appointments to maximise use of time
  • Initiating and arranging meetings, including regular update meetings with various directors and managers
  • Arranging travel programmes, including planning and booking accommodation, processing expenses and organising itineraries
  • Managing the MD’s attendance at meeting and preparing relevant papers
  • Pricing minute taking at meetings where appropriate
  • Attending meetings and summarising action points for the MDs where appropriate
  • Being actively involved in various business activities, including confidential work, liaising with employees, clients and board members
  • Formatting documents, briefing papers, reports and PowerPoint presentations
  • Scanning, filing and archiving documentation and other client correspondence
  • Updating client databases
  • Screening incoming calls as necessary and dealing with queries, transferring when required
  • Managing incoming correspondence, including emails
  • Managing and responding to straightforward communication, including client queries
  • Building and maintaining good relationships with the PAs of key internal and external contacts

They require someone who can manage and prioritise their workload effectively to achieve agreed business standards. You must have excellent verbal and written communication skills and be able to prepare well structured reports and presentations. They are looking for someone who can communicate at all levels of the business and with external suppliers, building and maintaining importation relationships.

Other requirements:

  • Previous PA experience, ideally within Financial Services
  • Proficient in MS Office suite
  • Understands the requirements for data protection, money laundering and health and safety
  • Must be extremely organised with excellent attention to detail
  • Able to accept and give clear instructions
