This is an amazing opportunity for an experienced Private PA to support a high-net worth family from their Notting Hill residence - one of the principals is a highly successful Interior Designer, who requires first class support to manage her busy private and business life, as well as supporting her husband, and overseeing the running of the household. This is a varied and fast-paced role, which will require agility, flexibility and a positive working attitude – you will very much be the glue that holds this busy family’s lives together and will ensure that everything runs smoothly at all times. From complex diary management, overseeing household staff, travel coordination and events management, this role will require you to juggle multiple tasks at any one time and be adaptable to the ever-changing schedule.
This is an informal household with high standards, and very lovely and respectful principals - they are looking to hire a PA who that they can rely on to take care of all organisation and administration, and pre-empt their needs to ensure everything runs as it should.
Usual working hours are Monday-Friday, 09:30 to 18:30 (although this can be flexible), however there will be the need to assist at events, so occasional evenings will be required with time given back in lieu. There will also be an element of on-call with this role if the family requires assistance outside of these hours.
Duties to include:
- Diary management – scheduling all meetings, social engagements, family holidays, household maintenance etc.
- Travel coordination and itineraries, including hotels, flights, activities etc.
- Event management - organising dinner parties and social engagements.
- Management of correspondence, including email, phone and post.
- Overseeing household staff in terms of family’s daily schedule and routine (driver, housekeepers and nanny).
- Liaising with principals’ office and assisting with diary coordination, travel and administration.
- Gatekeeping whilst building and maintain relationships.
- Travelling with the family on occasion to their property in Ibiza.
- Overseeing the household maintenance schedule and contractors, managing household bills, insurances, and managing expenses.
- Personal shopping and gift purchasing.
- Ad-hoc errands and administration.
Essential Criteria:
- At least 3 years Private PA experience
- Fluency in English (written and spoken), Spanish would be a bonus but is not essential.
- Tech savvy with excellent IT skills (Outlook, Word, Excel, Apple devices)
- Highest level of discretion and confidentiality.
- Professional, loyal and hardworking; enthusiastic, positive and self-motivated.
- Strong organisational skills, common sense and an eye for detail are essential.
- Articulate and well-presented – am ambassador for the principal at all times.
- Calm with the ability to work well under pressure and manage stressful situations with ease.
- Kind, caring and attentive to the principal’s needs.
- Ability to multi-task, prioritise, be proactive and demonstrate self-initiative.
- A team player who is willing to work collaboratively, as well as autonomously.
- Willingness and flexibility to travel occasionally.
- Brilliant checkable references are an absolute must.
