A busy clinical psychologist is looking for an experienced and friendly PA/practice manager for an initial 9-12 months’ maternity cover role to help run her successful practice in the Harley Street area. It is possible the role will go permanent after the initial contract period.

***Because the practice is closed over Christmas, this role is to start at the beginning of November on a temporary basis until 13th December, then start on the full-time maternity contract from 13th January 2020)***

Based in beautiful offices, you will work alongside the current practice manager who works 3 days a week.

As PA/practice manager, your duties will include the below:

  • Secretarial duties (filing, photocopying, scanning, taking phone calls/messages, dealing with post and emails)
  • Meeting and greeting patients
  • Running a very busy appointment diary and reacting quickly to cancellations to ensure another patient can benefit from that time
  • Liaising with insurance companies, patients and other medical professionals
  • Some accounting including invoicing and taking payments from patients (experience with Sage is desirable to perform bookkeeping duties, such as collections, preparing bills and keeping financial records)
  • Typing of reports and notes/typing, formatting and sending of reports and notes
  • Dealing with last-minute changes 
  • Billing patients and insurance companies
  • Filing medical notes, reports and correspondence
  • Operating office equipment such as voicemail messaging systems, using word processing, spreadsheet and other software applications to prepare reports and invoices etc
  • Transmitting correspondence and medical records by email, mail or fax.
  • A high level of discretion to maintain confidentiality of sensitive information and GDPR knowledge is a must

Key attributes:

  • Previous PA/secretary experience, preferably in a busy medical environment, although all PA background will be considered
  • Good administrative and organisational skills
  • You will be reasonably numerate with a warm and friendly personality and with good IT skills
  • Solutions-focussed individual who is happy to work autonomously
