Our client is a well known, successful, accountancy firm.

Description

Our client is a well known, successful, accountancy firm looking to recruit a permanent Team Secretary. Assisting the PA to provide support to a team of 10 - 15 (including Partners), your duties will include:

  • Organising meetings, liaising with attendees, booking rooms, arranging catering for meetings.
  • Ad hoc diary management for team members.
  • Managing the Partner's diary, in their PAs absence booking internal and external meetings.
  • Organising international and domestic travel arrangements.
  • Attending and taking minutes as and when required.
  • Copy typing letters, reports and proposals.
  • Producing reports.
  • Formatting documents.
  • Generating reports.
  • Producing client fee notes.
  • Updating the CRM (Client Relationship Management) system, with client information.
  • Assisting with projects eg arranging events, or carring out research.
  • Producing mail merges.
  • Assisting the team with client engagement procedures.
  • Assisting the team with billing.
  • Processing timesheets and expenses, on behalf of team members.
  • Answering the phone on behalf of the team, taking detailed messages and emailing them to the relevant team member.
  • Opening and distributing post.
  • Covering the Partner's PA in their absence.

Profile

The ideal candidate for this role will:

  • Have previously worked as a Team Secretary, Team Administrator, Team Assistant, Office Assistant or Legal Secretary.
  • Be able to do mail merge.
  • Have excellent organisational, time management, and multi tasking skills.
  • Have excellent attention to detail.
  • Be a good team player, with a "Can Do" positive, attitude to their work.
  • Have previously produced invoices or assisted with billing.
  • Have good typing skills.
  • Have good IT skills - Word, Excel, PowerPoint, Outlook.

Job Offer

On offer for the candidate is a salary of £26,000 + fantastic benefits package and 25 days holiday. Hours are 09:00 - 17:00 Monday to Friday with the a flexible working hours policy (10:00 - 16:00), upon successful completion of probationary period.
