A unique Private Office in the heart of Mayfair, are looking for an intelligent and efficient Assistant to join their growing team. A crucial role in the business, you will be supporting an experienced PA to the Principles whilst also providing administration support to the wider office.
The ideal candidate will be bright, proactive and well-presented with a knowledge of systems and administration experience. A really exciting role for someone looking to take on more responsibility in a collaborative and progressive environment.
Responsibilities
- Diary management and arranging domestic and international travel
- Booking of appointments and social events
- Personal shopping
- Managing the day to day running of vehicles
- Opening incoming post and actioning and responsible for all outgoing post and couriers
- Processing invitations for the principals to consider and respond accordingly
- Maintaining of the filing system
- Keeping the Private Office contacts databases up to date
- Researching and shopping for birthday, anniversary & Christmas presents
- Answering the phone and welcoming visitors to the office
- Ordering supplies for the office – stationery and water etc
- Support other members across the team as required
- Ensure the weekly / monthly team meeting schedule is in place and relevant action lists are monitored and followed up on
- Ensure all annual renewal processes are tracked and scheduled
- Onboarding of new starters
- Monitor annual leave and diary clashes
Requirements
- Excellent Mac and Office 365 skills
- Acute attention to detail and a proactive thinker with an ability to multitask
- Project management experience preferrable
- Team player
- Excellent written and verbal communication skills
- Must be prepared to travel and work in a number of different locations in London
