Experienced PA required for busy role supporting the Director of Marketing & Communications and Business Development Director of a well-known and highly regarded theatre company.  To confidently provide effective administrative support for your direct reports – solid PA experience at a similar level is essential and an interest/knowledge of the industry would be ideal but not essential.

Responsibilities include, but not limited to:

  • Extensive and detailed diary and meeting management for your reports
  • Inbox/email management where required
  • Acting as a first point of contact, screening and handling calls as appropriate
  • Take effective minutes of meetings, where required, and following up on actions as appropriate
  • Co-ordinate the weekly updates and board pack updates in collaboration with the business development, marketing & digital teams
  • Working with the appropriate travel agents to arrange complex and detailed, domestic and international travel for your reports and the marketing and recording teams. This will include hotel bookings, transfers, visas and preparing itineraries
  • Prepare team travel itineraries
  • Ensure all expense returns are completed efficiently
  • Provide telephone and reception cover when required
  • Carry out any other administrative duties that may be reasonably required, provide cover during periods of annual leave
  • Undertake research and projects as directed

Candidates must be/have:

  • Solid PA experience
  • A conscientious approach with forensic attention to detail
  • High standard of written English
  • A fast and willing learner
  • Professional telephone manner and excellent communication skills
  • A flexible “can do”, patient and calm attitude – especially under pressure
  • Excellent multi-tasker and swift problem solver
  • Highly organised and adaptable, able to manage shifting priorities and cope with last-minute changes
  • Able to work alone and as part of a highly collaborative team
  • Good working knowledge of MS Office (Word, Excel, PowerPoint
  • Able to maintain complete confidentiality and work with the utmost discretion and integrity
  • An ability to build rapport quickly and communicate across all levels of management
  • An intelligent/articulate communicator
  • Interest in Theatre and the Arts
