Based in stunning offices in Central London, our client is looking for an ambitious and proactive PA/Office Assistant to join their vibrant team. A fantastic opportunity for an ambitious candidate to excel as a right-hand support to the office.

Responsibilities:

  • Executing administrative tasks for senior office leadership including calendar, expense, and travel support
  • Undertaking tasks related to business development including securing, scheduling and tracking follow-ups to external meetings, ensuring that all sales-related activities are accurately reflected in Salesforce
  • Maintaining office and conference room calendars
  • Welcoming visitors
  • Managing the switchboard
  • Handling incoming and outgoing mail, packages, and faxes
  • Assisting with catering for meetings by ordering and setting up meals as requested
  • Keeping the kitchen area presentable
  • Collaborating with the Director of Administration to assist with Admin projects, global and office improvement initiatives, and other policy roll-outs
  • Assisting with on and off-boarding of employees
  • Managing all matters relating to reception/office appearance, including liaising with

service providers, cleaners, building management and utilities

  • Preparing and submitting invoices for payment
  • Managing contracts
  • Ordering and maintaining an inventory of kitchen sundries, as well as office stationery

 

 

Requirements:

  • Previous administrative or reception experience in a corporate or professional services environment
  • Exceptional verbal and written communication
  • Proficiency with all core Microsoft Office applications, particularly Outlook and Excel
  • Salesforce experience preferred
  • Strong organisational skills with the ability to prioritise and multi-task
  • Resourceful problem solver
  • Proactive self-starter
  • Flexible team player
  • Good time management skills
  • Comfortable working remotely on projects with colleagues from the company’s other offices
