A hot of the press role for a leading Global Creative Agency Group. The role will provide proactive personal assistance to the Global Chief Finance Officer and the Global Chief Creative Officer. This role will be required to manage and coordinate all diary, travel and expenses for both individuals under the guidance of the Executive Assistant. It would suit an enthusiastic and reliable Team Assistant who is hands-on, down to earth and motivated.
• Assisting in managing and controlling the Executives diaries.
• Anticipate priorities and ensuring that these are dealt with appropriately and in a timely manner.
• Ensuring sufficient preparation and journey time is allocated.
• Preempt any diary conflicts and ensure the diaries are up to date and 100% accurate at all times.
• Manage and coordinate all meeting requirements.
• Send invites to attendees and ensuring that attendance confirmations are received.
• Ensure timely attendance by all parties. Meeting and greeting guests/ attendees.
• Book venues, hospitality and transport as required.
• Proactively ensure that all the relevant meeting materials are prepared on time.
• Coordinate, manage and book all domestic and international travel and visas, accommodation, reservations, etc.
• Lead, manage and ensure that all meetings are coordinated in time for travel.
• Provide a detailed travel itinerary prior to travel.
• Adhoc creation of documents (Word, Excel, etc.) and presentations (PowerPoint)that are in keeping with brand guidelines, ensuring attention to detail and standards are maintained.
• Field telephone calls and passing on messages and ensuring that all enquires are dealt with in a timely manner.
• Proactively inform the CFO and CCO of up-coming deadlines and events.
• Submitting and managing all expense claims, ensuring expense claims are submitted quickly, thoroughly and correctly reimbursed.
• Filing, photocopying, scanning and general office support as required.
