A law firm in Chancery Lane is looking a Facilities Assistant to join their London office. Working hours are 9.30-5.30pm Monday to Friday. This position would suit someone who is approachable, flexible and enjoys a busy and varied workload with the ability to remain calm under pressure. 

You will work alongside two members of the Front of House team and another Facilities Assistant all reporting into the London Office Supervisor.

You may be offered over-time from time to time so flexibility is key.

Your main responsibilities will be:

• Photocopying

• Scanning 

• Retrieval of archiving

• Franking the external mail

• Office banking duties

• Carrying out regular maintenance tasks 

• Assisting with desks moves

• Assisting with ad-hoc events and room set-up

• Assisting with weekly office orders

• General administration duties

• Providing cover for Reception

• Booking couriers

• Booking catering

• Other ad-hoc duties as required

Skills and Qualifications

Essential skills

• Good communication skills – an ability to listen carefully and ask relevant questions

• Positive and enthusiastic approach

• Willingness to learn and develop

• Confident in the use of IT and software

• Attention to detail – an ability to follow processes and procedures accurately, ensuring there are no mistakes

Personal qualities

• Curiosity and a willingness to learn

• Ideally 1 year experience in a Facilities team though this is not essential

• Punctual, reliable and well organised

• Adaptable, flexible and able to multi-task

• Able to build strong working relationships with a wide range of people

• Relishes taking responsibility and acting on own initiative

• An ability to respect confidentiality is critical given the environment to which you will work in
