I am recruiting for an experienced PA that has come from a charity background to join a growing organisation in Victoria. You will be joining them at an exciting time, over the past few years, they have begun a process of significant change by transforming the organisation so it can meet the challenges of the future by putting young people at the heart of what they do.

Overall purpose
* To provide comprehensive PA support to the Director of Finance and Professional Services, the Director of Commercial, Property and IT and Director of Strategy.
* To work with the Directors to support the work of their directorates and to enable strong collaboration with senior volunteers.

Main areas of responsibility
* To provide day to day PA support to the Director of Finance and Professional Services, the Director of Commercial, Property & IT and Director of Strategy. This will include but is not limited to diary management, meeting coordination, minute taking, and communications.
* To provide administrative support for any projects and events led by the Directors. This will include being responsible for logistical aspects such as travel and accommodation arrangements, processing finance requests, booking venues and meeting rooms. You will also review or compile reports or doing research.
* To prepare correspondence, reports and other documents as well as taking both formal minutes and informal notes for meetings as required.
* To act as the first point of contact in the absence of the Directors.
* To create presentations, reports and other documents to specific deadlines as required.
* To review action logs on behalf of Directors ensuring actions are completed and action logs updated efficiently.
* To have an up to date knowledge of current work priorities for the Directors to ensure that effective support is provided.

Operational effectiveness and stakeholder management
* To identify areas to improve efficiency and work with the Leadership support team and admin assistants to develop and implement new processes.
* To support effective, joined-up working across directorates.
* To liaise and negotiate with external contacts on behalf of the Directors.
* To work with senior volunteers where required, operating within our staff/volunteer partnership agreement.
* To work collaboratively with the Leadership support team, ensuring that agreed delegated tasks are completed effectively.

Budget management
* To monitor expenditure against budget and forecasts.
* To manage the payments of invoices and expenses and to be responsible for managing the team credit cards, including recording expenditure and reconciliation with the Finance Department.
* To support the Directors in the collation and submission of budgets and quarterly forecasting as required.
* From time to time the post-holder may have responsibility for specific budget lines dependent on work
