Legal PA/Secretary in Banking

The Legal PA will be working alongside Partners and Associates whilst carrying out full PA/Secretarial support in this hybrid role; no two days are ever the same! The ideal Legal PA will have previous experience ideally within Banking, Finance or Corporate Law and will have the desire to manage projects and daily tasks in a proactive manner. As Legal PA, you will be responsible for:

  • Extensive diary management for the Partners and ensuring they are up-to-date
  • Complex diary management, scheduling ever-changing diaries, managing and resolving conflicts and diary clashes, arranging meetings, booking conference rooms, refreshments, checking rooms prior to meetings etc and liaising with other attendees, both internal and external
  • Organising travel arrangements, booking and confirmation of reservations and dealing with related invoices
  • Opening and closing of general files, general filing, record keeping and archiving of files
  • Using an effective system such as a to do list/reminders to ensure that longer term tasks are completed
  • Document production – checking correspondence, documents, reports and presentations
  • Audio and copy typing of correspondence
  • Assisting lawyers in ensuring their time is recorded properly and entered onto the system on a daily basis
  • Assisting lawyers in the billing process by liaising with the lawyer and Accounts department, to include the production of standard financial/time reports
  • Liaising directly with clients on a monthly basis to ensure that bills reach them on time and be the interface between them and the Partner/ Finance department if there are any queries, following up where necessary
  • Producing Excel spreadsheets and PowerPoint presentations

Personal Competencies:

You will need to have previous Legal Secretarial/PA experience and be able to demonstrate a proactive, ‘can do’ manner whilst delivering a high-quality and efficient service to the Fee Earners. You will need to be able to work collaboratively as part of a team and be able to multitask and work under pressure to deadlines. The Legal PA will also have:

  • Previous secretarial experience of working in Banking, Finance, Corporate or Commercial Law
  • Strong billings experience
  • Advanced MS Office knowledge and minimum typing speeds of 60wpm
  • Minimum 5 GCSE’s Grade C or Above or equivalent
