Owen Reed are recruiting for a Legal Administrator to join a law firm in St Pauls. The Legal Administrator will work within the Corporate team.
The Legal Administrator are expected to understand the varying needs of the individuals they support. This will be realised through action and results oriented behaviour, where requirements and challenges are pre-empted and resolved, and where opportunities to add value are exploited.
Key responsibilities of the Legal Administrator:
• Work to ensure unique and individual support needs for the key stakeholders are understood and met;
• Use effective systems to ensure that both urgent and non-urgent tasks are completed within the required timescales;
• Use initiative to take responsibility of essential administration that will assist the Executive Assistants, for example, co-ordinate expense payments, archiving, emptying confidential shredding, and arranging photocopying;
• Assist other members of the team and department as required;
• Develop a general awareness of business issues and challenges within which the firm operates to gain trust and confidence in the support you will provide;
• Take responsibility for organising and responding to incoming and outgoing mail;
• Establish and maintain effective, accurate filing systems (hard copy and electronic);
• Manage internal calendars, by coordinating and distributing calendar invites for all meetings of the Partners, Partnership Board and other meetings;
• Collate, upload and organise documents, ensuring that papers are released on time.
• Assist the Executive Assistants with the planning and delivery of firm-wide projects where necessary;
• Prepare draft minute templates for individual meetings and draft agendas;
• Prepare and collate papers ahead of meetings;
• Type from Dictation, prepare PowerPoint slides and other document production.
• General ad-hoc administration duties.
