An impressive opportunity for a Senior Office Manager to join a global entertainment company. The role will give autonomy, allowing someone to really make their mark whilst leading the support team in a creative office.

Client Details

The client is a ground breaking, world leading entertainment business with a lean but high performing headcount in the London office, set over 2 floors.

Description

  • Oversee and manage the general administration of the Studio, ensuring it runs smoothly
  • Set the priorities for the administration team and manage a self-supporting team
  • Provide project focused administration support to the General Manager and Directors/Senior Management as required
  • Provide business and personal support to the Directors/Senior Management as required
  • Prepare documents, reports and presentations as required
  • Own the development, implementation and maintenance of systems and procedures
  • Oversee and manage the coordination of all travel, accommodation and hospitality for employees, visitors and other studio employees visiting the Studio. Ensure all travel documentation is prepared and distributed including business letters and travel packs.
  • Act as a key contact for other studios in relation to travelling employees
  • Coordinate and maintain relationships with travel and accommodation providers ensuring bookings are made within agreed budgets
  • Oversee and manage administration processes and procedures including incoming calls and visitors, studio access, allocation of entry passes, Non-Disclosure Agreements and filing systems
  • Manage and coordinate external and internal Company events and meetings, including liaising with suppliers and other third parties
  • Meet and greet visitors and provide Studio tours where applicable
  • Manage contract and price negotiations with office vendors and service providers
  • Manage and develop vendor/supplier relationships
  • Oversee accounts payable support performed by the administration team. Assist with reviewing invoices and processing purchase orders.
  • Work closely with the Facilities Manager on the day-to-day running of the Studio. Managing arrangements for studio catering, ordering office supplies & furniture
  • Maintain a safe and healthy work environment by following standards and procedures; complying with health and safety regulations
  • Be proactive in problem solving and in getting what you need from others in the Studio
  • Manage competing priorities effectively ensuring that all relevant parties are informed of project status/changes
  • Work to the priorities as set by your line manager
  • Ensure you are working to the best of your ability and that you contribute to the overall success
