Job Description
Job Title:        Finance & Administration Assistant
Reports to:     Finance and Operations Manager, Headquarters Office, London
Purpose:        Working in harmony with the company's corporate objectives and interests, providing financial & administrative office assistance to the Headquarters office.

Finance Assistant
  • Responsible for managing Accounts Payable including but not limited to invoice coding, approving and managing Purchase Orders, managing supplier's queries, reconciling accounts and reviewing supplier payment runs.
  • Manage and reconcile petty cash & travel expenses for the teams, controlling cash card accounts where appropriate and ensuring that transactions are coded appropriately and accounted for.
  • Responsible for reviewing employee expenses, approving where necessary and effectively managing the process.
  • Responsible for credit control through raising and receipting invoices, reviewing aged debtors and chasing up outstanding invoices to ensure timely payment.
  • Provide support with month-end activities including the submission of petty cash and credit card reconciliations, preparing monthly accruals/ prepayment lists, reviewing companies TB and invoices to recharge, alongside maintaining departmental cost centres.
  • Support the Head of Finance in all aspects of the Finance function, for the institute.
Admin Assistant
  • Assist in answering, monitoring and redirecting calls to WNTI Team.        
  • Assist in maintaining a visitors list of persons partaking in meetings at the Headquarters office.  
  • Making enquiries with Travel agents and flight companies respectively with the purpose of gaining three quotes and then ascertaining the most competitive options in accordance with WNTI travel guidelines.
  • Manage the WNTI event calendar for budget analysis.    
  • Confirming bookings and co-ordinating travel packs for staff.
  • Pursuing visa applications with the relevant Embassy on behalf of WNTI.                                               
Desired Skills and Experience

Requirements

- Degree in finance, accounting or similar field of study
- ACCA/ CIMA/AAT desired studying
- Excellent analytical skills
- Ability to multi-task and work independently in a pressurised and time sensitive environment
- Advanced Excel skills
- Experience in Xero
- Strong communication skills both written and verbal
