We are recruiting for a part-time Library Administrator (6 month contract), paying up to £27,000 pro rata (3 days per week - take home salary £16,000) at an extremely prestigious historic organisation, requiring an immediate start.

The Library Administrator will act as first point of contact for Library users; manage incoming enquiries and occasionally supervise readers in the Library. They will also be responsible for a range of administrative tasks necessary to the functioning of the Library (for example budgeting and invoicing; the coordination of library events; and the coordination of copy for Library publications). The wider remit is to support the Librarian and the Assistant Librarian in the performance of their work.

PERSON SPECIFICATION:

The Library Administrator should be someone with excellent attention to detail, who can confidently manage the administrative aspects of the role, but is also enthusiastic about the library’s mission to facilitate research, and able to help enquirers with their first steps.

They should have excellent spoken and written English and ideally be educated to degree level. The role includes responding to routine enquiries, and a flexible and helpful attitude is key.

They should be proficient in Microsoft Office and will have prior office/administration experience. The ability to work independently to a high standard is essential; both in terms of managing enquiries and in the performance of administrative tasks such as budgeting and invoicing.

MAIN RESPONSIBILITIES:

a) Managing the reception of library correspondence, both internal and external, and tracking the completion of enquiries and their subsequent archiving.

b) Acting as first point of contact for telephone and written enquiries.

c) Co-ordination of appointments for library staff and visitors.

d) Invoicing, receipts, sale of Company publications.

e) Monitoring and updating library budgets, preparation of cheque requests and monthly cash box summaries.

f) Update logs of book and archival acquisitions and add data to Library catalogue when necessary.

g) Logging of periodicals, and responsibility for maintaining subscriptions.

h) Coordinate Library statistics.

i) Maintaining the Library visitors’ log.

j) Assist the librarian in the preparation of material for publication in the Review and maintaining mailing lists.

k) Register maintenance problems.

l) Updating annually the apprentice and freedom index.

m) Coordinating Library and Archive Committee meetings.

n) Administrative support for the librarian in her other responsibilities e.g. the History Group.

o) Act as administrator for Library projects as required.
