A world leading educational research organisation is looking for an Administration Officer to join their team on a permanent basis. The successful candidate will be responsible for providing administrative and secretarial support to the Chief Executive Officer and for assisting the Finance Manager with processing financial transactions and general office management. You will have excellent communication skills with high attention to detail.

Responsibilities:

  • Providing high quality support to the Chief Executive, dealing with multiple and complex demands and responding on time, every time with close attention to detail and getting it right
  • Maintaining the Chief Executive's diary and arranging appointments, meetings and speaking engagements
  • Maintaining effective and regular communication with the Chief Executive and other members as required
  • Providing additional support to the preparation of papers for board meetings
  • Making travel and accommodation bookings for Chief Executive and providing trip details in printed format
  • Establishing and maintaining an effective online and paper filing system including sensitive and confidential materials
  • Producing accurate and concise minutes of important meetings with clear action points and monitoring the follow up
  • Providing support at external meetings as required
  • Providing general administrative duties including maintaining meeting rooms, purchasing office supplies and dispatching outgoing mail

Essential Skills and Experience:

  • High level secretarial, administrative and project support skills and experience
  • Excellent communication skills, including demonstrated ability to write clearly and concisely with close attention to detail
  • Strong interpersonal skills with a proven ability to build and maintain effective working relationships with both internal and external stakeholders
  • Experience and knowledge of financial management, budgeting and at least basic book-keeping and accounting skills
  • Demonstrated ability to exercise initiative and to maintain a high level of discretion and confidentiality
  • Proven ability to manage varied and conflicting demands to agreed standards and timelines
  • A professional attitude combined with a "can do" approach
  • High level proficiency in Microsoft Office including Word, Excel, Outlook, PowerPoint and Adobe Acrobat Pro, with well-developed editing skills
  • Experience in an education environment and an understanding of research processes and methods would be highly advantageous
