This is an amazing opportunity for an experienced Office Assistant to join one of the most prestigious Private Family Offices for one of the wealthiest families in the world. Based in Mayfair, Central London, you will join a small and welcoming team and will assist the office to ensure that everything runs smoothly at all times. Fast-paced and varied, this role requires someone who is proactive, positive, and able to juggle multiple tasks at any one time ensuring the highest of standards are always maintained.

This role will best suit someone with high-level Office Assistant experience previously who is eager to progress their career working for an exceptionally influential family office. Attention to detail is key, as well as excellent communication and IT skills.

Usual office hours at 9am to 6pm, but on-call out of hours is required.

DUTIES INCLUDE BUT NOT LIMITED TO:

  • Administration for the team including document preparation and presentations.
  • Meeting room management - serving drinks to guests and tidying up between meetings.
  • Ordering and organising stationery and consumables - ensuring the office is always well-stocked.
  • Maintaining the office to a high standard: organising office maintenance and repairs.
  • Managing post, booking couriers and taxis.
  • Handling and filing invoices.
  • IT/telephone and videoconferencing support (requires familiarity with Apple systems).
  • Producing and printing documents.
  • Running errands.
  • Assisting PAs with projects (e.g. event organisation, birthday parties etc.)
  • Research projects and prepare reports.
  • Supporting staff and visitor with all requests.

 

ESSENTIAL REQUIREMENTS:

  • Prior experience in and Office Assistant/Administration position.
  • University degree or secretarial qualification.
  • Excellent presentation and well mannered.
  • Fluency in English to mother tongue level.
  • Excellent IT skills – able to problem solve for the wider team.
  • Highly organised and able to prioritise effectively.
  • Personable, proactive and enthusiastic.
  • High attention to detail.
  • Service-orientated and able to liaise at all levels.
  • Excellent checkable references.
