We are recruiting or an enthusiastic, driven and hard-working Team Assistant to join a small start-up private equity firm/family office in the heart of Mayfair, Central London. It is a fantastic opportunity for someone who is looking to undertake a role that will enhance their skillset and propel them to the next level of their career.

Working closely with the Private Executive Assistants - helping with their overflow for the two UHNWI principals - your main responsibility will be supporting a young team of dynamic analysts as well as supporting the CIO with a mix of private and business duties. You will be the go-to in the team and office for administrative support and will also be responsible for Office Management.

This role could be suitable for someone who has previous experience as a Team Assistant on trade floor in a bank, or within private equity/hedge fund who wants to get more exposure in Private PA duties. Or alternatively someone with a luxury background who can assist with the concierge-style requests such sourcing bespoke items etc.

Usual office hours are from 09:30 to 18:00 with on-call responsibilities out of hours.


RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Diary management including setting up conference calls, board meetings and external appointments.
  • Working on ad hoc projects such as formatting investment spreadsheets; writing biographies etc.
  • Providing all-round office assistance to the team, taking minutes, proofreading documents, conducting research and preparing presentations.
  • Office management duties such as ordering supplies; meeting and greeting guests; ensuring office is always presentable (clearing up boardroom after every meeting and replenishing drinks etc.)
  • Admin - expenses reports; filing; preparing induction packs for new employees and collating all their starter documents/NDAs etc.
  • Learning from and taking direction from Head EA - dealing with overflow from other EAs - travel; itineraries; research into new technology, wellness etc; planning bespoke trips; gift purchasing.
  • Luxury lifestyle management - concierge-style duties such as sourcing bespoke items; coming up with ideas; utilising contacts.
  • Daily communication with wider household staff and principals.
  • Running errands.

KEY ATTRIBUTES:

  • Hardworking and autonomous.
  • Excellent time-management and ability to prioritise.
  • Enthusiastic and eager to learn and develop new skills.
  • Flexible with out of hours contact on call some weekends (sometimes there is none; other times it can be very busy).
  • Multitasker - able to juggle a multitude of different tasks in one day but still able to produce everything at a bespoke standard.
  • High attention to detail.
  • Happy to muck in and do anything that is asked of them.
  • Team player
  • Thick-skinned; resilient and diligent
