Our client, a recognised arts organisation based in London, requires a junior Personal Assistant to provide high level administrative and secretarial support to the CEO's office, assisting the EA to the ensure the smooth running of the office. This is a two-month temporary role and is to start ASAP.

Main duties of the Junior Personal Assistant are:

  • Being first point of contact for the CEO
  • Booking meeting rooms and organise room set ups, catering/refreshments
  • Provide support to the EA to the CEO to run the administration of the Board and in particular prepare Board Committee papers including proof reading and formatting Board reports and minutes for Board and Committees
  • Assist the EA with implementation of Board Packs
  • Print Board and Committee meeting papers
  • Organise and collate papers for the Board Secretary following each Board meeting
  • Prove PA support to two Heads, helping with diary management, presentation preparation, room booking and refreshments for meetings
  • Maintaining the Board contacts database
  • Minute meetings as required
  • Support the EA to maintain a comprehensive digital filing system
  • Assist the EA to ensure customer complaints are logged and dealt with promptly
  • Maintain office supplies
  • Process expenses
  • Book cars, couriers and other travel arraignments
  • Organise the occasional hosting of community events
  • Prepare detailed PowerPoint presentations where required
  • Cover periods of annual leave and sickness for other support colleagues
  • Organise one-off organisation-wide events such as Staff Christmas party
  • Book concert tickets for Executive members
  • Any other duties as required

The successful candidate will have proven experience of providing high level administrative and secretarial support and is able to work accurately and with high attention to detail. You need to have excellent communication skills both written and spoken, has proven diplomacy skills and is confident in their ability to deal with matter that arise with sensitivity, patience and willingness. You need to be able to manage your own time, able to prioritise own workload, use your own initiative and able to stay calm and work well under pressure. You need to have good working knowledge of all Microsoft packages.
