The role of Office Assistant / Administrator for the Global Beauty and Entertainment organisation is to provide administrative and organisational support to the CEO and extended team. From data entry to diary management, from research to travelling and event management, this role provides variation on a daily basis.

Description
The Office Assistant/ Administrator is responsible for general office procedures to ensure processes and duties in the office flow efficiently. Working closely with the administrative team to provide administrative and organisational support to the CEO and extended team. The key Responsibilities and duties include but are not limited to the following;
- Answering and following up on phone calls as appropriate
- Opening all general inbound mail, scanning and filling or shredding as appropriate
- Organising outgoing post/deliveries
- Managing office supplies including food catering, stationary, IT equipment
- Support team with various administrative and event tasks
- Arranging travel and accommodation for team members when required
- Responsible for UK Customer Service, responding to all inbound queries in a timely, professional and efficient manner
- Processing expenses and matching all company credit card receipts
- Researching and creating content for for Website and Social Media channels
- Data entry and system management
- Upholding and carrying out company office policies and procedures including Health & Safety requirements in the workplace
- Completing general office checks, reporting any relevant maintenance faults/issues
- Assisting in co-ordination of internal/external company team training, events & socials
- Support management team with external events and travel as and when needed to location
Profile
The ideal candidate for the role of Office Assistant/ Administrator would be/have the following;
- Personable and friendly demeanour
- Intermediate Microsoft Office skills
- Social Media Savvy
- Superb communication skills, both verbal and written
- Exceptional organisational, time management & prioritising skills
- Ability to act on initiative and take ownership of tasks
- Professional telephone manner & exemplary customer service skills
- Keen attention to detail
- Pro-active with an enthusiastic can-do attitude & willingness to learn new processes/skills
- Ability to maintain strict confidentiality
- Excellent and accurate data entry skills
- Quick learner, able to keep up within a fast paced environment yet remain positive and composed in a situation
- Open to background and experience
- Desirable a language speaker ("French or Spanish") but not essential
