One of the world's leading Universities is looking for an Executive Assistant to join their team on a permanent basis. The successful candidate will provide secretarial and administrative support for the Deputy Director of Principal Gifts and the Head of Principal Gifts. You will have excellent organisational and time management skills and have the ability to work well under pressure.

Responsibilities:

  • Maintaining familiarity with the prospects and donors whose relationships are managed by Principal Gifts and being able to recall key details and status updates at any time
  • Liaising with prospects, their offices and the President's and Vice President's offices to co-ordinate prospect meetings
  • Conducting all interactions with prospects and donors and their offices including scheduling meetings
  • Attending regular meetings to review the status and strategies for prospects assigned to the Deputy Director and Head
  • Contributing to and producing statistics and reports on the status of the programme
  • Providing diary management, overseeing a heavy meeting schedule, coordinating meetings and distribution of papers
  • Managing complex and sometimes international travel arrangements including accommodation and all aspects of itineraries
  • Managing and dealing appropriately with phone calls, emails, messages, invitations and post
  • Preparing correspondence including proofreading, editing and formatting appropriately
  • Researching, collate, organise and edit material for proposals and reports.
  • Maintaining a tracking and filing system to manage both paper and electronic files
  • Assisting the Deputy Director and Head with ad-hoc research requests
  • Collating profiles and briefing notes well in advance of meeting dates
  • Making updates to the prospect management system

Essential Skills and Experience:

  • Significant experience in executive assistant or personal assistant role(s)
  • Experience of diary management, and managing complex diary and travel arrangements
  • Experience of using a relational database to store, retrieve, assemble and analyse information
  • Experience of using Raiser's Edge or a similar customer relations database
  • Experience of financial management tasks
  • Good IT literacy including use of Microsoft Office, particularly Outlook, Word, Excel and PowerPoint
  • Excellent organisational and time management skills
  • An outstanding level of interpersonal skills
  • Excellent oral communication skills, including a professional telephone manner
  • Outstanding writing, proofing and editing skills
  • Excellent numeracy skills
  • Excellent standards of accuracy, consistency and attention to detail
  • Proactive, with the ability to think ahead and anticipate needs before they arise
  • Respect for confidentiality
  • Ability to work out of hours on occasion
